Terms and Conditions of Use

Welcome to Snap Administrators. These Terms and Conditions ("Terms") are a legal agreement between you ("you" or the "User") and Snap Administrators LLC ("Snap," "we," "our," or "us"), a Florida limited liability company. These Terms govern your access to and use of the Snap portal and related billing services provided by Snap.

SnapAdministrators.com and any subdomains, linked pages, features, content, or application services (including without limitation any mobile application services) offered by Snap from time to time (collectively, the "Website") are owned and operated by Snap. Subject to the terms and conditions of these Terms, Snap may offer to provide certain services (together with the Website, the "Services") solely for your own use, and not for the use or benefit of any third party. The term "Services" includes, without limitation, use of the Website, any service Snap performs for you, and the content offered on the Website. Snap may change, suspend, or discontinue the Services at any time, including the availability of any feature, database, or content. Snap may also impose limits on certain features and services or restrict your access to parts or all of the Services without notice or liability.

Snap reserves the right, in its sole discretion, to modify these Terms at any time by posting notice on the Website or by sending you a notice via email or postal mail. You are responsible for reviewing and becoming familiar with any such modifications. Your use of the Services following such notification constitutes your acceptance of the Terms as modified.

Snap does not knowingly collect or solicit personal information from anyone under the age of 18 or knowingly allow such persons to register for the Services. If you are under 18, do not attempt to register for the Services or send any information about yourself to us. If we learn that we have collected personal information from a child under age 18 without verification of parental consent, we will delete that information as quickly as possible. If you believe we might have any information from or about a child under 18, please contact us at Contact@snapadministrators.com.

You represent and warrant to Snap that: (i) you are an individual (not a corporation or other entity) and are of legal age to form a binding contract (at least 18 years old); (ii) all registration information you submit is accurate and truthful; and (iii) you will maintain the accuracy of such information. You also certify that you are legally permitted to use and access the Services and take full responsibility for such use. These Terms are void where prohibited by law, and the right to access the Services is revoked in such jurisdictions.

By accessing the Snap Administrators portal, providing your banking information, or authorizing recurring ACH withdrawals, you acknowledge and agree that you have read, understood, and accepted these Terms in full. If you do not agree to these Terms, you may not access or use the Snap Administrators platform.

1. Company Information

Snap Administrators LLC is a Florida limited liability company and operates as a Third-Party Administrator (TPA) solely for the purpose of eligibility processing and billing administration for voluntary employee benefit plans. Snap does not provide, sponsor, or manage insurance benefits. We do not provide enrollment services, benefit plan information, claims processing, or changes to coverage.

2. Role of Snap Administrators

Snap is solely responsible for:

  • Receiving enrollment data, in format of enrollment files, from client/employer groups, third-party enrollment agents, and brokers;
  • Receiving funds from client/employer groups, if applicable
  • Setting up User accounts for ACH withdrawal authorization or credit card charge, if applicable;
  • Withdrawing funds from User bank accounts per the instructions in the enrollment file, if applicable;
  • Remitting those funds to the designated benefit carriers.
Snap is not responsible for the accuracy or completeness of the enrollment data provided to us by your employer, union, association, or designated enrollment agent or broker. Snap shall not be liable to the User for any inaccuracy or incompleteness of any enrollment data it receives on behalf of users. Any errors in coverage elections or deduction amounts must be addressed with the party that facilitated your enrollment.

3. Third-Party Banking Services

Bank account or credit card information submitted through the Snap Administrators portal by User(s) is processed and stored by a secure third-party banking service provider. Snap Administrators does not directly store or retain any sensitive financial account data. User acknowledges and agrees that Snap is not liable for any breach, error, or malfunction originating from such third-party providers.

4. Payment Authorization

By submitting your bank account, credit card, or debit card information and confirming your agreement to these Terms, you authorize Snap to initiate recurring payments in the amounts provided to us by your employer, union, association, health insurance representative, enrollment agent, broker, or any other designated representative. These payments are made to cover the costs of the voluntary benefits you have elected and are based solely on the enrollment data provided to Snap.

You understand and agree that this payment authorization includes—but is not limited to—ACH (Automated Clearing House) transfers, credit card charges, or debit card withdrawals, as applicable. You acknowledge that Snap will continue to charge the payment method you provided on a recurring basis communicated during enrollment, until such time as updated instructions are received through a revised enrollment file from your health representative.

Once authorization is granted, Snap may—but is not obligated to—provide advance notices or confirmations of individual withdrawals. You are responsible for ensuring that the payment method you provide is accurate, current, and has sufficient funds or credit available.

Snap disclaims any liability related to ongoing or repeated charges authorized by your enrollment file. By providing your payment information, you agree to this subscription billing arrangement, and you accept full responsibility for reviewing your benefit selections with your enrollment contact before submitting authorization.

Once authorization is given, Snap may—but is not obligated to—provide notices in advance of each withdrawal or confirmations following each transaction. User is responsible for maintaining sufficient funds in the account you designate for withdrawals. In the case Snap incurs fees for insufficient funds in User’s account, User may be held liable and charged for such fees. Snap or designated representative may bill User directly for any incurred charges. If fees incurred by Snap, which are charged to User, are not repaid by User in the timeframe specified by Snap, Snap retains the right to terminate services to User. The termination of services may result in the termination of covered benefits provided.

5. No Changes or Cancellations Through Snap

Snap Administrators cannot make changes to your benefit elections or amounts to be withdrawn. All such changes must be handled through User’s employer, union, association, enrollment agent or designated representative. Snap will only act upon revised enrollment files received from those parties.

Snap is not responsible or liable for any continued payments, deductions, or benefit-related charges that occur in connection with a cancellation or change request that was not received directly by Snap from User’s employer, union, association, enrollment agent or designated representative. It is User’s responsibility to ensure that any requested changes or terminations are submitted to the appropriate party and reflected in the enrollment data received by Snap.

6. Missed or Failed Payments

If a payment attempt fails, Snap may reattempt the withdrawal. Continued non-payment may result in termination of User’s benefits by the applicable insurance carrier. Snap is not responsible for lapses in coverage due to non-payment. Any fees associated with failed withdrawals shall be the responsibility of the User, and Snap or a designated agent may attempt to collect these fees. If fees are not re-paid by User, Snap services and/or benefits may be cancelled.

7. Limitation of Liability

To the fullest extent permitted by applicable law, Snap Administrators LLC and its affiliates, directors, officers, agents, and employees shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or relating to:

  • The use of or inability to use our platform;
  • Errors in benefit deduction amounts received from third-party sources;
  • Bank transaction failures or third-party data storage issues;
  • Any loss of coverage, claims denial, or benefit change based on data received by Snap from a third-party;
  • Temporary interruptions, unavailability, or delays in platform access or billing functionality.

8. No Guarantee of Availability

Snap does not guarantee continuous, uninterrupted, or secure access to its portal or services. Access to the platform may be affected by factors beyond Snap’s control, including internet or system outages, maintenance, upgrades, or actions taken by third-party vendors. You acknowledge that Snap may suspend or restrict access temporarily or permanently without liability.

9. Indemnification

User agrees to indemnify, defend, and hold harmless Snap Administrators LLC, its affiliates, and its representatives from any claims, liabilities, losses, or damages (including legal fees) arising out of misuse of the platform, inaccurate bank information, or disputes related to benefit coverage or elections.

10. No Fiduciary Duty

Snap Administrators does not act in a fiduciary capacity with respect to any User, member or participant. No part of these services shall be construed as creating a fiduciary obligation under ERISA, state law, or any other regulation.

11. No Warranty Disclaimer

The Snap platform and services are provided “as is” and “as available,” without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement.

12. Force Majeure

Snap shall not be liable for any failure or delay in performance caused by circumstances beyond its reasonable control, including but not limited to acts of God, telecommunications outages, third-party system failures, government actions, or natural disasters.

13. Termination of Access

Snap reserves the right to terminate or restrict access to the billing portal at any time, with or without notice, for security, compliance, or operational reasons.

14. Consent to Electronic Communications

By using our platform, you consent to receive all notices and disclosures electronically, including withdrawal notices, updates to terms, or other communications.

15. Confidential Information

You agree to keep confidential any login credentials and secure access to the Snap Administrators portal. You further agree not to share or distribute any confidential or proprietary information accessed through the portal, including but not limited to account activity, payment schedules, or system-generated notifications. Snap shall use commercially reasonable safeguards to protect confidential data but shall not be liable for unauthorized access resulting from actions or omissions outside of its control, including user negligence or third-party breaches.

16. Amendments

Snap may change any part of these Terms at any time. Any updates will be posted on the Snap portal and will become effective immediately upon posting. Your continued use of the platform following the posting of revised Terms constitutes your acceptance of those changes.

17. Severability and Waiver

If any provision of these Terms is found to be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from these Terms and shall not affect the validity and enforceability of the remaining provisions. No waiver of any term or condition shall be deemed a further or continuing waiver of such term or condition.

18. Governing Law

These Terms shall be governed and construed in accordance with the laws of the State of Florida, without regard to its conflict of law principles.

19. Dispute Resolution

Any dispute arising out of or relating to these Terms or the services provided by Snap shall be resolved through binding arbitration conducted in the State of Florida in accordance with the rules of the American Arbitration Association. By agreeing to these Terms, you waive any right to a jury trial or to participate in a class action.
